1. BOOKING CONDITIONS
a. General Procedures
i. How to Book:
Please send reservation requests to our head office through one of the following:
- Book a product using our internal booking engine.
- Send an enquiry using our built-in custom enquiry form.
- Send an enquiry to our official enquiries email address; EMAIL
We cannot guarantee a timely response to enquiries directly sent to private email addresses of our staff.
ii. Required Information:
All bookings must contain at least the following information. To minimize errors, it is imperative to use our booking forms wherever possible.
- Full names of all passengers including first names (in bookings of more than 3 rooms, hotels insist on at least one coplete lead name per room).
- Ages (in years) of all children,
- City and specific hotel or required services,
- Alternate choice of hotel, if any,
- Arrival and departure dates with number of nights, room type (single, double, tripple, etc.)
- Special instructions or requests such as airport transfers (with definite flight details) and sightseeing tours,
- For package tours, the tour code number or if applicable, your reference number,
- Any other information that may be indicated as “required” on our booking forms.
ii. Definitions:
Booking procedures will differ according to the amount of passengers (aka. pax). In general, the following definitions apply:
- Any request or booking with the amount of pax up to 9 individuals is considered an FIT (Individual) Booking/Request.
- Any request or booking with the amount of pax equal to or above 10 individuals is considered a Group Booking/Request.
b. Booking Procedures
i. Ready-Made Packages:
FITs (individuals): Package rates are as per the predefined (ready-made) package and contain hotel accommodation, transfers, city sightseeing tours and the services detailed within the package. Only these packages are available for instant confirmation. Choice of hotel for the confirmed package will be at the discretion of the Operator. The Operator checks availability at the best available option among the potential hotels stated within the itinerary. No further written confirmation is required from the FITs; payments are considered as confirmations.
Groups: Due to the nature of group travel and availabilities, Ready-Made Packages are not available for instant confirmation. However, a group quote will be calculated by the operations team with the same itinerary. Hotels other than the ones listed on the itinerary may be suggested. A written confirmation is required by the Client to finalize the booking and to start the payment process.
Step 1) Booking: Upon booking by the Guest or the Agency, the Operator will make all the arrangements regarding the trip as per the program indicated on the ready-made package. Completing the enquiry forms will not commit any party to either taking the tour or any expense. This step is equivalent to an instant confirmation for FITs, meaning that the Operator is obliged to allocate availability at any of the hotels indicated within the itinerary to the Guest, or upgrade to a better option if none are available. For groups, this process starts the enquiry quotation process.
Step 2) Confirmation: The Operator will check the availabilities at the hotels indicated in the ready-made package\’s itinerary and find the best available option to match the enquiry. If none are available, the Operator upgrades the FIT guests to a better hotel. For groups, an alternative hotel at the same category will be suggested. Within 24 Hours, the Operator will send the Guest a confirmation which will include the details of the itinerary, domestic flights (if any), hotels, and local contacts. The Operator will also provide a cancellation deadline for each travel component within the confirmation. The Operator reserves the right to make changes and provide alternative and similar options even after the confirmation.
Step 3) Payment: Upon the receipt of your deposit or payment in full (with respect to the deadlines), the Operator will issue the vouchers for each travel component within the confirmation. Please see Section 2: Payment Terms of the terms and conditions regarding the payment process. In addition, the Guest may cancel their trip before this step in accordance to the terms present within Section 3: Cancellation Policy. Unless mutually agreed by both parties in writing, no alteration/amendment is possible to the itinerary after this stage by neither party.
ii. Custom-Made Travel:
FITs (Individuals): Requests will be acknowledged by return email within 1 hour on business days. Once receiving the booking request, one of our travel advisors will start to assist you in building a trip plan based on the given specifications. You will receive the quotation together with a suggested itinerary.
Groups: The Operator requires a rooming list 6 (six) weeks prior to arrival in order to forward to the hotels. The final rooming list must be supplied to us at least two weeks prior to arrival. Ammendments will be acceptable up to 7 (seven) days prior to arrival. Any changes submitted in less than 7 days prior to arrival may be subject to charge.
Step 1) Enquire: An acknowledgement letter will be sent to you by email within 1 hour, confirming that the enquiry has been received by the team.
Step 2) Quotation: An itinerary, together with a quotation, will be provided by either email within 2 hours on business days. If it is apparent that providing a quotation will take longer than initially assumed, this information will be relayed to the Guest/Client. Any changes to the itinerary can be made freely at this stage.
Step 3) Confirmation: After receiving your written confirmation regarding the suggested tour itinerary and the accompanying quotation, the necessary reservations will be done according to the program. The status of bookings will be sent to you as soon as possible in the form of a confirmation displaying all travel components within the itinerary. After the confirmation, the Operator reserves the right to make changes and provide alternative and similar options instead.
Step 4) Payment: Upon the receipt of your deposit or payment in full (with respect to the deadlines), the Operator will issue the vouchers for each travel component within the confirmation. Please see Section 2: Payment Terms of the terms and conditions regarding the payment process. In addition, the Guest may cancel their trip before this step in accordance to the terms present within Section 3: Cancellation Policy. Unless mutually agreed by both parties in writing, no alteration/amendment is possible to the itinerary after this stage by neither party.
iii. Guaranteed/Scheduled Departure Tours:
FITs (Individuals): The same conditions and procedures as the Ready-Made Packages apply, except that the hotels will always be the ones indicated on the itinerary, as long as allocations are still available. Once the allotted amount of rooms are finished, the sale of scheduled departure tours will be halted. If the Guest wants to change the date of travel, alternative hotels may be suggested. Rates may differ if a date other than the scheduled dates are requested.
Groups: Due to the nature of group travel, no scheduled departures are offered for groups consisting of 10 or more pax.
iv. Hotels:
FITs (Individuals): For request-based bookings, the same conditions and procedures as Custom-Made Travel apply. For instant confirmation bookings, which will be indicated on the product, the same conditions and procedures as Ready-Made Packages apply, except that the hotel will specificaly be the one indicated.
Groups: The same conditions and procedures as Custom-Made Travel apply for all hotels across the board.
v. Transfers:
FITs (Individuals): For request-based bookings, the same conditions and procedures as Custom-Made Travel apply.
Groups: The same conditions and procedures as Custom-Made Travel apply for all transfer and vehicle options across the board.
vi. Other Travel Products:
Groups & FITs (Individuals): The same conditions and procedures as Custom-Made Travel apply.
c. Deadlines
FITs (individuals): Bookings should be made no later than 10 days prior to arrival. It is highly recommended to make your reservation 30 days prior to the actual arrival date, especially for the high season from April to October.
Groups: Bookings should be made no later than 45 days prior to arrival. Later bookings must be approved in advance. All departures are guaranteed after written confirmation from the Operator.
2. PAYMENT TERMS
a. Deposits

b. Payment Terms
i. FITs (individuals):
Final payment is required 10 (ten) days prior to arrival. For bookings made within 10 days of arrival, full payment is required upon booking. Payments can be made by either bank/wire transfers or by credit card (VISA or MasterCard).
ii. Groups, Conferences and Incentives:
Payment conditions will differ depending on the policy of the hotels offered. For group reservations, the payment requirements will be established with the confirmation of the reservation. Full payment for groups is required 20 days prior to arrival by bank transfer.In order to guarantee the price of arrangements confirmed at the time of booking or any element within the booking (for example, any flight(s)), you may be required to make full payment for the element(s) concerned at the time of booking/prior to balance due date.Payment information sent over our online booking system will be kept in strict confidence and will not be stored within our system. All data transmissions are encrypted via SSL.
c. Rates
Rates will be quoted in US Dollar (USD) or in Euro (EUR), in accordance with the origin of the Guests. Prices are subject to change with or without prior notice due additional taxes or circumstances beyond the control of the Operator. Despite our best efforts, errors in advertised prices and other details occasionally occur and hotel descriptions and facilities can change. The Operator reserves the right to correct such errors and information at any time. You must check the price of your arrangements at the time of booking. All rates are confirmed after full payment.
d. Bank Accounts
For payments via bank transfers, the following are the Operator’s bank accounts.
e. Mail Order
Payments can also be carried out using our mail order form. For first time mail orders, the following items are required:
- Photocopy / scan of the credit card (front and back)
- Photocopy / scan of the card owner’s ID (front and back)
A scan of the POS slip will be sent to you upon approval of the transaction by the bank.
3. CANCELLATION POLICY
a. Overview
Should you need to cancel your tour or any portion of your trip, your cancellation request must be in written format. Cancellation refunds will be calculated as of the cancellation date, which will be effective on the date of receipt by the Operator. If you do not receive confirmation for the cancellation or change, you must re-send your message. Cancellations are not valid without our return confirmation. The Operator is not required to re-advise cancellation policies on each booking or cancellation confirmation.The Operator pledges to exercise utmost goodwill and cooperation in minimizing the cancellation charges. However, no-show fees will be extended to the Guests in full. Cancellation charges, measured by the time until arrival date, are detailed in the following sections.
b. FITs (Individuals)
i. Hotel bookings only:
Unless mentioned otherwise, FIT reservations can be cancelled 72 hours (3 days) before check-in free of charge. For late cancellations, 1 (one) night will be charged. Resort hotel reservations can differ in terms of cancellation deadlines. You will receive the free cancellation deadline by the time of confirmation.
ii. Package tours and custom-made travel:
For any cancellation made 10 (ten) days prior to the tour starting date, all deposit payment will be paid back in full. For the remaining, the conditions are as follows:
- Cancellation received from 9 to 8 days before departure: 20% of the tour price.
- Cancellation received from 8 to 7 days before departure: 30% of the tour price.
- Cancellation received from 6 to 5 days before departure: 50% of the tour price.
- Cancellation received from 4 to 0 days before departure: 100% of the tour price.
No-show travellers will be charged 100% of the tour price.
c. Groups
The deposit is refundable if the group is cancelled more than 30 days prior to arrival.
- Cancellations received from 29 to 15 days: 50% cancellation charge.
- Cancellations received from 14 to 7 days: 75% cancellation charge.
- Groups cancelled after this period: 100% cancellation charge.
No refunds will be made for no-show travellers.
d. Conferences & Incentives
Cancellation charges will apply on case-to-case basis, depending on the hotel’s policy. The same will be provided at the time of booking. Cancellation charges for group bookings and/or yachting programs vary according to the size of the group and the season of travel. Special terms and conditions will be determined and included in the group contract prior to final confirmation.
4. AMENDMENTS
a. Overview
Modifications to itineraries before the booking date are free of charge. Modifications to itineraries 29 (twenty nine) days or less to the arrival date may be subject to additional charges, depending on the modification. All expenses incurred by the Operator in alteration of the booking are the responsibility of the client. Any charges for the modification are included to the total base from which the 25% deposit is calculated. In case deposits have been made, the 25% for the modification charge will be requested. The Operator cannot guarantee the availability of changes. If the date of the tour is changed and subsequently cancelled, cancellation penalties will be based upon the original tour departure date before the change. Supplements/surcharges may be applicable for peak times including but not limited to bank holidays, special events and Christmas/New Year.
5. RATES & PRODUCTS
a. Overview
Rates will be quoted on a per person basis in accordance with the tour program. You may choose the category of hotels you would like included in the program when requesting reservations. Specific hotels can also be requested. In cases when the desired hotel is unavailable, another hotel of similar category will be offered.
i. Family Plan (FP) Children’s Policies:
A maximum of one child will be free when sharing with two full paying passengers/guests (pax). This policy may vary in some hotels. All family plan policies are based on pax using existing bedding in the room. The Operator must be provided in the initial request on the exact age of all children. If no age is given, they will be confirmed and charged as full paying adults.
ii. Meals and beverages:
Meals and beverages are included as specified in the confirmation of the tour program.
iii. Excursions and Itineraries:
Excursions are performed by private vehicle or on seat-in-coach basis, as indicated within the relevant tour description, and are accompanied by an official licensed guide.
The Operator reserves the right to change travel programs, routes and timetables, with or without private notice, when circumstances beyond the control of the agency make such changes necessary.
6. COMPENSATIONS
a. Overview
In case of complaints or problems regarding the services supplied by the Operator, the Guest should report them immediately during the period of the stay, to give the Operator the chance to investigate and try to solve them.If the Guest fails to follow the procedure mentioned above, any rights for compensation may be affected, as we will have been deprived of the opportunity to rectify the problem.If the complaint is not resolved during the period of the stay, a registered letter should be sent to the Operator, detailing the complaint as detailed as possible
7. LIABILITIES
a. Insurance
The Operator cannot be held responsible or liable for loss, damage or theft of luggage or personal belongings, nor for personal injury, accident or illness. Therefore, we strongly recommend that travelers purchase full travel insurance.
b. Liabilities
The Operator acts solely as agent in all matters relating to hotel accommodation, transportation, services and facilities provided by other parties and is responsible only for the completion of the services confirmed.While exercising every possible precaution, the Operator is not responsible for injury, sickness, damage, loss, additional expenses, accidental delay or other irregularities which may be caused either through willful or negligent acts or omissions on the part of companies or individuals providing or engaged in accommodation, transportation or other services related to the accomplishment of the tour, or through natural disasters and social upheavals.The Operator reserves the right to substitute hotels, flights, or cruise ships, to alter itineraries, or to cancel the tour prior to departure. If the Operator has cancelled any tour prior to the commencement of the tour, the Operator is liable for a full refund of the money received from the client.The Operator reserves the right to modify or rescind the terms and conditions in whole, or in part at any time with or without notice.The Operator is not responsible for a client\’s failure to comply with customs regulations.Many of the Operator’s tour packages include activities which may require care and attention. Such activities include boarding and going ashore from boats, climbing hills and entering and exiting tombs and caves, etc. You will receive help and advice from our representatives but all activities are undertaken at your own risk.The Operator, its employees and agents cannot be held responsible for any action or event that occurs after its said employees and agents have exercised their duty and taken the necessary care. Any contract entered into with the Operator will be subject to the law and jurisdiction of the Republic of Turkey.The Operator publishes travel information and services gathered from the selected quality hotels, air ticket agencies, tour companies and operators. The Operator will not be responsible for errors, emissions or inaccuracies in information provided by third party providers.The Operator shall not be liable for any loss, injury, or damage to person or property, alteration of itineraries or cancellation in part or in full, caused by climatic conditions, sea fire, breakdown of machinery or equipment, acts of government or other authorities, wars whether or not declared, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, or any other actions, omissions or conditions beyond the Operator’s control.Neither the Operator nor any of its affiliates or subsidiaries shall be or become liable or responsible for any additional expenses of liability sustained or incurred by the tour member as a result of any of the aforementioned causes. We strongly recommend that all clients take out travel insurance.
The Terms and Conditions below are the basis of the contractual relationship between the travel agency (Agent), the Passenger (Guest), the Corporate Client (Client) and us as Destination Turizm A.S. (Operator).
By booking a trip, you agree to be bound by these terms and conditions. Please be sure to carefully read these terms and make sure you understand and accept these terms and conditions.
